1. DEFINITIONS

In these Terms & Conditions:

  • The terms “Auasia Travel,” “we,” “us,” and “our” refer to Auasia Travel Co., Ltd.
  • The terms “customer,” “you,” and “your” refer to the individual named in the booking and, where applicable, all persons included in the booking (including in matters of liability and responsibility).
  • The term “Suppliers” refers to third-party providers of travel products and services.

2. VALIDITY

Our tours operate daily, meaning we are “always available” except during the Vietnamese Lunar New Year (Tet) holiday. If your travel dates fall within the Tet period, please contact Auasia Travel directly before booking through our website.

Please note that itineraries may be adjusted due to unforeseen weather conditions. In the event that hotels or Halong Bay cruises are fully booked or under renovation, we will provide alternative options of a similar standard to ensure a smooth travel experience.

3. PRICE

All prices are quoted in USD on our official website. Upon request, we can also provide quotations in AUD, EUR, GBP, CAD, or SGD. The prices listed in this edition serve as examples of applicable rates, valid only for the specified period or until new prices are announced.

Prices include only the services specifically described in our programs and price tables. They do not include travel insurance, services before departure or after return (such as airport registration or post-trip arrangements), additional transit nights due to flight disruptions, tips, personal expenses, extra excursions, or meals and drinks not mentioned in the itinerary.

Any additional trips or excursions outside the booked program must be approved by Auasia Travel and may incur extra charges.

Price Revisions

All prices are final, except in the following cases:

  • Fluctuations in transportation costs, especially changes in fuel prices.
  • Changes in taxes related to the provided services (e.g., landing or boarding taxes).
  • Changes in currency values that may affect tour pricing.

If any of the above situations occur, Auasia Travel reserves the right to adjust prices accordingly:

  • Any increase in fuel costs will be directly reflected in the tour price.
  • For customers who have already confirmed and paid for their bookings, the agreed price will remain unchanged.

4. CANCELLATION POLICY

All cancellations made by the customer will incur additional charges as outlined below. If you cancel any portion or the entirety of your booking, applicable cancellation fees will be charged. The effective date of cancellation is the date on which Auasia Travel receives written notice from the customer.

Half-Day Tours, Full-Day Tours, and Private Airport Transfers

  • More than 72 hours before departure: 10% of the tour price
  • Between 72 and 24 hours before departure: 50% of the tour price
  • Less than 24 hours prior to departure or in the event of a no-show: 100% of the tour price will be charged.

Multi-Day Tours

  • More than 90 days prior to departure: 10% of the tour price will be charged.
  • Between 90 and 30 days before departure: 45% of the tour price
  • Between 29 and 7 days before departure: 65% of the tour price
  • Less than 7 days before departure or no-show: 100% of the tour price

These cancellation charges are determined based on the policies of our suppliers (including airlines, hotels, train operators, and cruise companies). Should there be any changes in our suppliers’ cancellation terms, Auasia Travel reserves the right to adjust these charges accordingly.

In special circumstances—such as a pandemic outbreak, serious illness, or other critical situations—we offer flexibility to reschedule your travel dates without any surcharge. Please contact Auasia Travel directly for further assistance.

5. FLEXIBLE BOOKING AND MODIFICATION POLICY

Booking with Flexibility

At Auasia Travel, we understand that travel plans can change. To provide peace of mind, we offer flexible options for our customers:

  • Change of Booking Dates: You’re not locked in. If your schedule changes, you may select new travel dates.
  • Choose a Different Tour: If your new dates no longer align with your original tour, you may choose another tour of similar value.
  • Receive Travel Credit: If you cannot confirm new dates or a replacement tour at the time of cancellation, we will issue a travel credit valid for a future trip.

Customer-Initiated Changes Before Departure

A modification to an existing booking by the customer will not incur additional charges in the following cases:

  • Additional travelers added to the reservation.
  • An increase in the number of services booked.
  • A change of hotel without changing the departure date, provided the total trip value remains equal to or higher than the original booking.

If changes occur during the trip, any supplementary charges must be paid directly at that time.

Cancellation by Auasia Travel

In the unlikely event that Auasia Travel cancels the tour, customers will receive a full refund for all services organized by Auasia Travel.

Please note that itineraries may be adjusted due to uncontrollable weather conditions. If hotels or Halong Bay cruises are fully booked or under renovation, we will arrange alternative options of a similar standard to ensure continuity of service.

Refunds apply only to services directly arranged by Auasia Travel. Any independent services booked by the customer are non-refundable.

Air and Rail Transportation

  • Unused transportation tickets during the trip are non-refundable.
  • Auasia Travel is not responsible for any loss or misplacement of personal belongings during transport.
  • Auasia Travel is also not liable for issues arising from the transportation provider’s operations, including but not limited to:
  • Invalid or unconfirmed bookings presented by the customer.
  • Failure by the customer to provide the required booking number or travel documents.

In such cases, no reimbursement or compensation will be granted.

We strongly recommend that all travelers purchase comprehensive international travel insurance. This coverage allows reimbursement in cases of trip cancellation due to unforeseen events and provides protection for medical emergencies, death, evacuation, theft, or accidental damage during travel.

6. PASSPORT AND VISA REQUIREMENTS

It is the traveler’s responsibility to hold a valid passport and to obtain all necessary visas, permits, and travel certificates required for the countries included in the itinerary. Your passport must remain valid for at least six (6) months beyond the end of your trip.

Before departure, please ensure that you possess the correct travel documents for your journey. For detailed guidance, refer to the Important Information section provided by Auasia Travel.

Auasia Travel shall not be held responsible if you are denied entry into any country due to incomplete, invalid, or missing travel documentation, including passports, visas, or other required permits.

7. PRIVACY POLICY

  • Auasia Travel employees, suppliers, and authorized agents.
  • Third-party service providers involved in fulfilling your booking (accommodation providers, airlines, and local service operators).
