Please take the time to read and understand our terms and conditions below before booking.

1. DEFINITIONS

• References to “Auasia Travel”, “us”, “we” and/or “our” in the following Terms & Conditions shall mean Auasia Travel Co., Ltd
• References to “customer”, “you” or “your” shall mean the named person who places the order and where the context requires (including in respect of liability and responsibility provisions) includes all persons intending to travel on the order.
• References to “Suppliers” shall mean suppliers and travel product and service providers.

2. VALIDITY

• We run our tours every day that means we are "always available" except Vietnamese New Year - Tet holiday. If you can only travel during Tet holiday, please contact us "Auasia Travel" before booking the tour through our website.
• Itineraries can be changed as a result of the uncontrollable weather conditions. In case of hotels, or Halong Bay cruises being full booked or if they are under renovation, we will change the hotels and Halong Bay cruises to similar standard option.

3. PRICE

• The price is quoted in USD on our official website. We can also quote you the price in AUD, EUR, GBP, CAD and SGD as per your request. The prices mentioned in this edition are examples of applicable prices, valid for the indicated period of time and until the new prices are presented.
• The prices exclusively include the described services in our programs and tables of prices. It does not include the complementary insurances, the services applying before the registration at the departure airport, the services applying on the way back, after the end of the trip and/or after registration at the airport, the possible transit nights in case of flight problems, tipping and other personal expenses, extra excursions, meals and drinks if not included in the program.
• Any other trips or excursions not included in this trip must be submitted to the approval of Auasia Travel and engage to additional charges.

• Revision of Prices

• The mentioned prices are definitive except in the following cases:
• Fluctuation of the transportation costs, especially in regard to the petroleum price.
• Fluctuation of the taxes linked to the offered services such as the landing taxes, boarding taxes.
• Fluctuation of the exchange rates.
• In case of modification of the prices because of the cases mentioned above, Auasia Travel reserves the right to modify the prices as following:
• The fluctuation of the petroleum price will be integrally included in our prices.
• If the customer has already booked the excursions or services offered by Auasia Travel, the prices will stay unchanged.

4. CANCELLATION POLICY

All cancellation from the customer arise additional charges as follows:

• If you cancel some or all portions of your booking, cancellation fees will be applied. The effective date of cancellation will be the date receiving written notification. The cancellation charge will be deducted as follows:

Half-day, Full day tours, Private airport transfer:

• More than 72 hours prior to departure: 10% of the tour price.
• From 72 hours to 24 hours prior to departure: 50% of the tour price.
• Less than 24 hours prior to departure or no-show: 100% of the tour price.

Multi-day tour:

• More than 90 days prior to departure: 10% of the tour price.
• From 90 days to 30 days prior to departure: 45% of the tour price.
• From 29 days to 7 days prior to departure: 65% of the tour price.
• Less than 7 days prior to departure or no-show: 100% of the tour price.
• All these cancellation fees stem from the cancellation policies of our suppliers (airlines, hotels, train tickets and cruise companies). If there is any change in the cancellation policies of our suppliers, the cancellation charges may, at our discretion, be adjusted accordingly.

In some special cases such as outbreak a pandemic, serious illnesses or diseases, ect…, we are flexible to change the travel dates for you without surcharge, so please contact us for further information.

BOOKING WITH FLEXIBILITY

• Change booking dates: You’re not locked in. Things can change, and we allow you to choose a different booking date.
• Choose a different tour: In case your new dates and your previous tour no longer work out, we will let you choose a different tour.
• Receive credit if plans change: If you can’t pick your new dates and tour at the time of cancellation, we will offer you a credit towards a future trip.

CHANGES BY THE CUSTOMER PRIOR TO DEPARTURE:

• A modification of booking by the customer won’t lead to complementary charges in the following cases:
• Increase of the number of pax.
• Increase of the number of services.
• Change of hotel, without a change of the departure date for a trip of a price at least equal to the initial trip price. In case of a change arising during the trip, the supplementary charges will be directly paid at this time.

CANCELLATION BY THE ORGANIZER:

• If the tour is cancelled by Auasia Travel, we will get you a full refund. Kindly note " Itineraries can be changed as a result of the uncontrollable weather conditions. In case of hotels, or Halong Bay cruises, being full booked or if they are under renovation, we will change the hotels and Halong Bay cruises to similar standard option."
• Cancellation refund is only valid for the services organized by Auasia Travel. Other services organized by you are NOT refundable.

FLIGHT AND TRAIN TRANSPORTATION:

• Unused tickets during the trip won’t be reimbursed. Auasia Travel is not responsible in case of personal items lost or forgotten during the times of transportation.
• Auasia Travel is not responsible in case of independent problems to the transportation supplier. Auasia Travel is not responsible in case of default records:
• When the customer presents an invalid booking.
• When the customer does not present his/her booking number necessary to the trip.

In case of these occurring issues, customers cannot claim any reimbursement. We highly recommend purchasing international travel insurance for all trips. Travel insurance allows you to seek reimbursement if you are forced to cancel your trip for unforeseeable reasons, or if you need to cover medical expenses, death, emergency transport, and/or theft or accidental damage while traveling.

5. PASSPORT AND VISA

• You must carry a valid passport and have obtained all of the appropriate visas, permits and certificates for the countries which you will visit during your trip. Your passport must be valid for 6 months beyond the duration of the trip.
• It is your responsibility to ensure that you are in possession of the correct visas, permits and certificates for your trip, please refer to the Important Information section for details. We are not responsible if you are refused entry to a country because you lack the correct passport, visa or other travel documentation.

6. PRIVACY POLICY

• In this Privacy Policy, 'us' 'we' or 'our' means Auasia Travel Co.,Ltd and our related suppliers. We are committed to respecting your privacy. Our Privacy Policy sets out how we collect, use, store and disclose your personal information.
• We have created this privacy statement in order to demonstrate our commitment to you, our visitor. This privacy statement discloses the privacy practices for this site: auasiatravel.com
• We will never give any information about you to others.
• Our site uses forms in which you give us contact information (such as your name, address, phone number and email address) so you can book travel services, request information and support. We use your customer information only when it will be important for us to contact you regarding our website and special offers we think you'll find valuable.
• This privacy policy applies, among other things, to your use of this website. If you do not accept this privacy policy, you must not use this website.

Security

• This site has security measures in place to protect the loss, misuse and alteration of the information under our control.
• Changing your communication preferences.
• As a customer of Auasia Travel, you may alter your customer information or opt-out of receiving communications from us at any time.

Sending Emails

• We use emails to communicate with you, to send information that you have requested. We also provide our information, as on our site, to allow you to contact us directly. We strive to promptly reply to your messages.

Sharing Your Personal Information

• We may disclose personal information for the purposes described in this privacy policy to:
• Our employees, related suppliers, agents and contractors.
• Our third party suppliers, merchants and service providers (including our business or in connection with providing our products and services to you).
• Payment systems operators (e.g. merchants receiving card payments); and/or other persons, including government agencies, regulatory bodies and law enforcement agencies, or as required, authorized or permitted by law.

Changes to this Privacy Policy

• If we change this privacy policy, we will post the revised privacy policy here with an updated effective date. If we make significant changes to the privacy policy, we may also notify you by other means such as sending an email or posting a notice on our home page.
